How to maintain customer record in Peachtree software.

 We open the software and click on maintain tab.
 As we click maintain tab we have this window in front of us. we will click on first option which is maintain customer  and prospects.
 As we click on maintain tab we have above window in front of us, we will fill the columns with appropriate correct information.
We need three basic things to enter  
 This is the general information of any client. We have to a lot a customer with separate id.These ids will not be duplicated in charts of accounts.
 In the sales default screen we have an option of g l sales account (abbreviation of general ledger)
We have to make account by this name in the charts of accounts and enter the same id in gl sales account which is in charts of account. if you enter wrong id in the column the column start flashing as a warning.
 This is payment default screen. These have the above column in it.
 Custom field window ask about the second contact to whom may we contact if first contact person is un available.asks about the refrences,mailing list and multiple steps to remind,and it can also be edited.
 This is history tab. This tells us about the history of customer that he is customer since…,at what last date he did transaction with us, asks about the last payment date, last payment amount and last statement date. Thus this tab will keep all the record of history of client.

                        Default information
 Here we can teach that how we can enter default information in the Peachtree software. First of all we open the software and go to maintain tab and go to default information. We click on customers so we have following screen in front of us.


 

After clicking on customers we will have this window open in front of us. this window has 5 options to set default information as PAYMENT TERMS,ACCOUNT AGING,CUSTOM FIELDS,FINANCE CHARGES,AND PAY METHODS.
If we write gl sale account in front of the option the software does not require again and again this account as we know that three things are necessary to enter the information of client which are customer id, customer name, and gl sales account so if we set it as default it will not ask again and again, otherwise after putting customer id and name into it will not save the id and name of customer.
The upper portion of this tab asks about c.o.d, prepaid duo in number of days discount etc.its all about the transaction,s  terms and condition.
 
 This is account aging tab. It will asks about the age invoices by invoice date or duo date. It has four columns named as 1st, 2nd, 3rd and 4th.1st column is about no of days as 30 days,2nd column is about 60 days,3rd column is about 90 days and 4th column are over 90 days.
 This is custom field tab as this has 5 columns in it as second contact, refrence, mailing list, multiple sites. We can also add one more column as of our needs and it can also be settled or swapped according to our preferences as
 
 This is an example editable tab as we can swap it or add one more column by checking the column.


 This is finance tab. This varies with customer to customer. We have to enter day’s overdue, annual interest rate, on balances above that and minimum finance charge. We have to put finance charge gl account.


This is pay methods tab. This asks about how a customer do transaction via paying by cash, check, visa, mastercard, Amex, discover and we can add options up to no 10.

how to open a company in peechtree saved in z drive

 We open this window by the beginning of Peach tree by click on open an existing company, here we have options of OK,CLOSE AND BROWSE we click on browse and find the name of  company which we have formed.
 By click on browse button we came to this window named as open company, here we have options of directions, drives and list of companies’ type, we will go to drives and select Z DRIVE.
 By clicking on z drive it leads us on this window, we will double click on this name of the company.
 We will see company name in the list of companies, we will double click on this for further proceed.

 We will have this window for our business transactions to record. Here we have options of my buissness, daily register, my resources, navigation aids, preferences, setup guide.

 Difference of open and a closed folder
Here I can tell you about the difference between the open folder and a close folder, the folder named as z/ is a open folder whereas the other folder which is not in pink is a  closed folder, open and a closed folder have difference in sign as well. 


charts of accounts

 We open our company in Peachtree software and we see in start we have several options FILE, EDIT, MAINTAIN, TASKS, ANALYSIS, OPTIONS, REPORT, SERVICES, WINDOW, HELP. we click on maintain folder to make our companies chart of accounts.

 After clicking on MAINTAIN option we will have this options so we will click on charts of accounts.


 As we click on the charts of accounts we will have a wizard MAINTAIN charts of accounts. in this wizard we have account id, we will assign each account with a id here as cash has 105 and sales has 220 etc, we will write the account id in the account id portion then we go on to the description portion and we write the titles to it, proceeding we add account type to it then we will save it by simply pressing ALT PLUS S. The file going to save in our company’s chart of accounts.

 Now I will tell you about how we delete the wrong account id as here in the wizard above we have account id 168 for duo from officer, if it is recorded wrong as payment from officer so we can simply go to delete tab, it will reconfirm ARE U SURE YOU WANT TO DELETE then if you want to delete it click yes. The wrong account id will be deleted.
 Now if we allotted a wrong account id to any account title as account id 168 is for duo from officer but we by the conduct of mistake record it as notes payable and after immediately closing this wizard we think that we record it wrong, so we open this wizard again and change the description of it by clicking on change id tab.


 By clicking on change id tab we will have this sort of wizard that is in front of you. The CURRENT ACCCOUNT ID cannot be changed, it remains constant. we will edit in ENTER NEW ACCOUNT ID the new id and save it by clicking on  ALT PLUS S.


Now I will tell you how we will began our balences,we simply open this wizard and open charts of accounts.


 By clicking on charts of accounts we will have this sort of window in front of us. We go to beginning    balances and click it.

 We will click on the dates from which we want to record the data. After clicking on the dates we will have the following wizard in front of us.


 We will write the beginning balances in each account. (Note) first of all we will have to confirm that either we have a retained earning account or not. If we do not make so the software will not able put the remaining balance in it.

setup of a new company

Setup of a new company in Peachtree to start the software you will find the following screens.

From the above screen we will have the following options.
1)      open an existing company 
If we will have our company registered then we will select this option to open our existing company.
2)      Set up a new company:
We will choose this option if we are willing to set a new company to treat our company accounts.
3)      Learn about Peachtree accounting through an online tutorial:
If we face any problem then we can take help from online tutorial to get started.
4)       Explore a sample company
If we want to check that how companies work in Peachtree accounting software then we explore any sample company.
5)      Convert from a quick book or one write plus company:
If we want to convert our company record from quick book so we will choose this option.
6)      Close this window:
If we are not required all this option so we will click on closes the window and go back,
“While setting up a new company we will go to   SET UP A NEW COMPANY”.

In this wizard we will have
1) Your company name and address
2) Your charts of account
3) Your accounting method
4) Your posting method
5) Your accounting period
We will click on next and go further.
               
In this wizard we will fill the information of our company, as
Company name,                                               business type
Address line one 1, 2                                        federal employment id
City, state, zip                                                     state employment id

Fax                                                                            email
We will fill all these information and click next.
When we select SET UP A RETAIL,SERVICE,CONSTARACTION,MANUFACTURING,OR DISTRIBUTION USING A SIMPLIFEID CHARTS OF ACCOUNTS we have different companies and their charts of accounts so we can select the suitable charts of account.

When we select SET UP A NEW COMPONY USING AN EXTENSIVE CHARTS OF ACCOUNTS FOR ONE OF MANY SAMPLE COMPONIES we have different sample companies to copy a chart of accounts.
When we select COPY SETTINGS FROM AN EXISTING PEECHTREE ACCOUNTING SOFTWARE, through this option we can select charts of accounts which are already in our Peachtree software.
When we select t CONVERT A COMPANY FROM ANOTHER ACCOUNTING PROGRAM, we can copy charts of accounts from accounting software.
When we select BUILD YOUR OWN COMPONY, if we want to make our own charts of account.

In this wizard we have two options as cash and accrual.
Accrual is recorded when accounting transaction took place
And cash is a system recorded when cash is received or paid.
So we will click on one option and go next.                                                                       

Posting window wizard ask u about the posting method ,real time transactions are posted to the general lagder as they are entered and saved and batch is transaction saved by the program and then posted in the group.we will choose real time posting method as it is continent to us and click next.

Accounting period window ask about is 12 month accounting period is convinent to you or accounting period that do not match the calendar months.we will choose 12 months accounting period.and click next.


Monthly accounting periods ask about the months from which the transactions take place, we will select from January to February

.


This window wizard congratulate on becoming a company on Peachtree as it will help a lot to a company.
